How FD Works safeguards your data

FD Works (“We”) are committed to protecting and respecting your privacy and the safety of the data and information you share with us.

This policy (together with our Terms of Service and any other documents referred to in it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. This policy relates to personal data about our customers and their employees (“You”), which is entered on our system.

For the purposes of the Data Protection Act 1998 (the Act) and General Data Protection Regulation (GDPR), the data processor is our company, FD Works Limited and we have our registered office at Unit 14 Greenway Farm, Bath Road, Wick, Bristol, Gloucestershire, BS30 5RL.

Our nominated representative for the purpose of the Act and GDPR is Stuart Budd.

Under the GDPR regulations we are a processor of your information for the purpose of providing you with accounting and advisory services.

INFORMATION WE MAY COLLECT FROM YOU

We collect and process various types of personal information, including basic information such as your name and contact details, which we’ll hold on our internal systems and with carefully selected third-party organisations.

We may collect personal information about you from various sources including data you give to us, as well as data we collect in relation to the services we provide – including from third parties we work with; e.g. HMRC and pension providers.

USES MADE OF THE INFORMATION

We use the information held about you so we can effectively deliver the services you’ve contracted us for, and/or to provide you with updates about the services we provide. We’ll also send you accounting and advisory content that we think is helpful, valuable and appropriate to share.

As part of delivering the contracted services, we’ll need to disclose your personal information to third-party organisations to process and hold your personal information – for example, to the providers of your online accounting software. We continually review the privacy policies of these third-party organisations to make sure they’re adequate.  

We may also be legally obligated to share your information with other organisations or government agencies in the course of business. In all cases, we’ll let you know when this has occurred.

WHERE WE STORE YOUR PERSONAL DATA AND KEEPING IT SECURE

We work hard to keep our internal sites and transfer of data to third-party sites as secure as possible.

Where data is held on third-party sites, the information is subject to local data protection law and GDPR guidelines, and are either compliant or working towards compliance by 25 May 2018. Any personal data exported outside of the EU to third-party data-hosting providers complies with EU data export restrictions as per GDPR guidelines.

Information we hold internally is backed up to the cloud. Where data is also stored on our laptops we continually review our security procedures to make sure we have the appropriate levels of protection under GDPR guidelines.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is made at your own risk.

BRIGHTPAY

We use a third-party organisation, BrightPay, to provide our payroll software. This includes BrightPay Connect, a self-service option that gives you and your employees online remote access to view and manage your payroll data 24/7.

BrightPay Connect is tailored to help you overcome the challenge that GDPR presents. Furthermore, the cloud functionality will improve your payroll processing by providing simple email distribution, keeping employee records up-to-date, offering safe document upload, easy leave management and keeping a secure backup of your payroll records.

XERO

We use a third-party organisation, Xero, to provide our accounting software.

REMOVAL OF YOUR DATA

When a client ceases to use our service, they’re able to request that we delete any data of theirs which we have stored – and we’ll action this on request. Certain elements of clients’ financial information must be held for 7 years, but all personal and contact data will be deleted 12 months after the date when we stopped providing services under our Terms of Service.

YOUR RIGHTS

You have a number of legal rights to control what we do with your information. This includes the right to request access to the data we hold about you, as well as the right to restrict processing of your data. Please note that in some cases, asking us to do this may mean that we’re no longer able to provide you with products or services.

CHANGES TO OUR PRIVACY POLICY

Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by email. Please check back frequently to see any updates or changes to our privacy policy.

MARKETING

Unless you’ve told us not to, we may send you marketing information and helpful content in the form of emails, updates, newsletters or practical advice on running your business.

We’ll only use your email address to communicate in line with our agreed services or to share any content that we think is helpful, valuable and appropriate to share.

We won’t pass on your details to any third parties without your consent and only then if it relates to the services we are contracted to work with you on.
